Office Assistant

Our client is looking for an Administrative Assistant Extraordinaire.  You will be spending your day supporting the day-to-day administrative needs of the office.

Your day will be spent doing general admin duties including:

  • Proactively creates and maintains effective workflow and communications to accomplish the work in the office
  • Manages projects and follows up on action items.
  • Responds to phone, email and in person enquiries- providing general information and referring enquiries to appropriate sources based on a broad knowledge of business/office
  • Develops and amends correspondence on behalf of the administrator/team members, using Word
  • Responsible for generating effective presentations and intermediate level spreadsheets
  • Using Outlook, provided proactive and extensive calendar management
  • Provides extensive follow up on items as needed
  • Maintains confidentiality, tact and respect always
  • Supports and provides input to events that are hosted by the company.
  • Prepares, gathers and relays confidential information and material on a regular basis
  • Assists other Executive Assistants in determining and meeting timelines for various tasks

Qualifications:

  • Completion of an office administration diploma, degree or equivalent experience
  • Experience working at an IT or healthcare or manufacturing company
  • Highly proficient use of Microsoft Office (Microsoft Word, Excel, Publisher, Outlook) and QuickBooks
  • Detail oriented and highly organized
  • Quick and self-learner
  • Capable of managing and delivering large volumes of work generated
  • Ability to be flexible, adaptable and comfortable with taking initiative to meet tight deadlines
  • Strong work ethic, integrity and tolerance of stress created by a busy and dynamic environment
